Every client's books. One login.
For accounting firms and bookkeepers in South Africa and Lesotho: each client is its own company in DocuBite, with its own documents, ledger, approvals and payments, and you switch between them from one menu.
In DocuBite, Lerato M. opens the company switcher, which lists four client companies under her practice, and moves from Thaba Bosiu Guesthouse to Mokhotlong Traders, whose own invoices then show.
Each client is its own company. Nothing crosses over.
A new client? One more company.
Add a company with its country and currency. It gets its own documents, suppliers, approval flows and payer accounts, kept apart from every other client.
In Admin, Companies, Semonkong Dairy Co-op is added (Lesotho, LSL) beside 4 other companies.
Each on a different ledger? Each connects its own.
One client keeps Xero, the next QuickBooks Online, a third Sage Accounting or SAP. Every company makes its own connection, and its bills post there.
In Semonkong Dairy Co-op's Integrations, Xero is connected, accounts are synced, and the default expense account is Cost of sales.
The client wants a say? They see their company only.
An invitation names each company it opens and the role in each. Thabo K. joins Mokhotlong Traders, and nothing else of yours is visible to him.
Invite a user: thabo@mokhotlong.co.ls, Mokhotlong Traders (Pty) Ltd only. Invitation sent to thabo@mokhotlong.co.ls — 1 company.
Clients sign off on their own. You see every one.
Needs the client’s sign‑off? It waits for them.
End an approval flow with the client's own stage. Only the approver you name can decide it, and they hear by email at most once an hour.
Qiloane Fuel QF-0457: Lerato M. approved · Bookkeeper check, then Waiting on Thabo K. · 2 of 2 · Client sign-off, then Thabo K. approved · Client sign-off.
Who's waiting on what? Every client, counted.
The Dashboard counts each company's open invoices and what's ready for you to approve. Each name opens that company.
Dashboard, open invoices and ready to approve per company: Mokhotlong Traders (Pty) Ltd 12 and 3; Thaba Bosiu Guesthouse 7 and 0; Leribe Hardware & Building 21 and 5; Ficksburg Agri Supplies (Pty) Ltd 9 and 2; Semonkong Dairy Co-op 0 and 0.
Paying a client's suppliers? The people they choose approve.
You gather the batch; it waits for someone with approval rights in that company, the client if you choose. Approving makes the payment file. DocuBite never holds the money.
Payment batch Suppliers, 9 Oct, 4 bills · 1 claim, LSL 10 391,70, is approved by Thabo K.. Approving makes the payment file available. No money moves until it is uploaded to the bank.
Questions firms ask first. Answered plainly.
Can a client see my other clients?
No. Access is given per company: a person sees only the companies their invitation opened, with the role you chose in each. Belonging to your organization opens no company by itself.
Does every client need a login?
Only the people who approve or pay. Your own staff can be invited to several companies in one invitation, each with its own role.
My clients use different ledgers. Is that a problem?
No. Each company makes its own connection to QuickBooks Online, Xero, Sage Accounting or SAP, and its approved bills post there, every line with its account and tax code.
Can a client's suppliers send invoices straight in?
Each company has its own address to forward or copy invoices to, so a document lands in that client's queue and nowhere else. You can also upload on their behalf.
Do I set approvals up the same way for every client?
Each company keeps its own approval flows: a one-stage check for a small trader, a bookkeeper check then the client's sign-off for a growing business.
